Reporting to the Plant Manager, the Operations Coordinator performs various human resource and operations administrative support duties. This role maintains the human resource database and all employee records and files. Handles payroll processing and tracks and reports payroll information. Completes assigned reporting functions involving attendance statistics. Assists the HR Manager with recruiting hourly roles. Performs general office support functions and assists area personnel as necessary. Supports MRU operations as well as the Maintenance Expert.

 

Scope of Work: This position will interact with all employees, including the Moose Jaw management team and hourly employees, corporate Human Resources and Payroll, MRUs, customers, and vendors. The impact of this position on the business is especially important as it ensures that all individuals are treated in a professional and courteous manner. This individual must exercise independent judgement and be capable of making sound decisions.

 

Responsibilities / Responsabilités

  1. Manages payroll records for hourly employees according to provincial and federal regulations. Processes premium pay for eligible salaried employees. Ensures that payroll functions are performed in accordance with established policies and procedures. Audits and prepares daily hours worked reports. Serves as a first point of contact for payroll.
  2. Under the guidance of the HR Manager, manages the recruitment process for hourly employees, including reviewing resumes, conducting phone screens, and scheduling on-site interviews. Upon job offer, coordinates the pre-hire screening, including background checks, and medical and physical exams. Assists the HR Manager with managing the new hire process. Maintains records of new hires, and transfers. Assists with the preparation of promotional materials for career fairs and other sourcing events.
  3. Tracks the attendance of hourly employees and generates and distributes monthly reports to managers for review and disciplinary actions if applicable. Communicates all hourly attendance occurrences. Assists the HR Manager in managing the Attendance and Employee of the Month Program. Manages the vacation, sick, and personal time tracking sheet. Tracks and maintains STD records and assists hourly employees with the filing of a new claim. Serves as the first point of contact for leaves of absence inquiries from hourly employees.
  4. Ensures all human resource files and records are maintained and properly filed. Coordinates the logistics for training and development of employees. Assists the HR Manager with various research projects and/or special projects. Assists with Inclusion, employee engagement, and related activities.

  5. Coordinates facility events, including retirement and holiday parties, etc. Sources and manages vendors and ensures efficient execution of events. Answers main office phone and forwards calls.

  6. Support and backup the Maintenance Expert, including creating car files, authorizing repair to cars, and taking open and closed worked repairs orders, as well as other related duties.
  7. Managing MRU activities:

  • Handle service requests from customers, including all the logistics, prior to sending the Mobile Repair Unit employees to the customer’s site.
  • Ensure that all documentation, including Health/Safety and Quality certifications as well as special permits, is up to date for MRU employees
  • Create a Service Event in the system to enter the repair that needs to be performed, which includes verifying that we have the right material.
  • Check with Customer Service that the service will be billed to GATX or the customer.
  • Assist with obtaining drawings, schematics, forms, instructions, procedures, prints, etc.
  • Create MMS Estimates from QF-1108 Work order; Create car files and organize them for easy retrieval.
  • Finalize car in MMS and update billing info in SEM.
  • Collect, assist, and bill the customer or GATX for the materials used and the cost of sending our MRU employees to the customer's location. · Audit system data entry and communicate any errors to the team; Generate reports that monitor and track key performance indicators.

 

Qualifications / Qualification

Education and/or Experience preferred (including certifications):

  • Associate’s degree in business administration/organizational Behavior/ Human Resources or equivalent, or an equivalent combination of relevant education and experience; relevant bachelor’s degree preferred.
  • Minimum of 1-2 years’ experience in a Human Resources support role preferred.
  • Strong computer skills, including proficiency or the ability to become proficient in the following:
    • MS Word, Excel, and PowerPoint.
    • Human Resources Information Systems.
    • Applicant tracking systems.

    • Shop Portal
    • ECM
    • MIS
    • SEM
    • SharePoint
